Platform Terms — Communication, Documents & Audit Trails

Version 1.0 (2026-09)

These Connect Direct Hub-specific terms apply in addition to the Terms & Conditions and govern how communication, property actions, documents and records work inside the app.

1. Property-linked communication

Every message, request, approval, notification, document and acknowledgement in the app is linked to a property, unit or tenancy and is visible only to the users authorised for that property, unit or tenancy.

Communication in the app is a record of what was said and when. It does not replace notices that your lease or the law requires to be given in a particular way.

2. Landlord and tenant communication

A landlord and the tenant linked to an active tenancy may message each other about that tenancy. Messages, charges, payments, statements and readings for that tenancy are visible to both parties.

A tenant sees only their own tenancy. A landlord sees only the properties they own or that an authorised agency manages for them.

3. Agent and agency communication

An agency and its authorised staff may act for a landlord on the properties assigned to them, and their communication is treated as communication by that landlord for those properties.

Agency staff access is limited to assigned properties and is removed when the staff member or the mandate is removed.

4. Buyer and seller communication

Where a property is offered for sale or a buyer enquiry is captured, the enquiry and any related communication are linked to that property and are visible only to the owner, the authorised agency and the platform administrator.

The app does not conclude a sale. A sale agreement, mandate, disclosure and transfer remain outside the app and are subject to the applicable law and your professional advisers.

5. Contractor communication

The contractor directory is view-only. Contractors are not users of Connect Direct Hub, do not have accounts and are not managed, vetted, employed, appointed or guaranteed by us.

Where you choose to share your contact details or a maintenance detail with a contractor, we share only what is needed and, where the sharing is not necessary to perform the agreement or required by law, only with your consent.

Any agreement, quotation, workmanship, pricing and liability is between you and the contractor.

6. Maintenance requests and approvals

A maintenance request is logged against the tenancy and property it concerns, with the date, the reporter and any photographs attached.

A landlord or authorised agency may respond to, approve, decline or close a request. Each status change is recorded with the user and the time.

Logging a request in the app does not by itself create an obligation to approve or fund work, and approval in the app is a record of an instruction, not a substitute for a written contract with a contractor.

7. Property-related actions

Creating or editing a property, unit, tenancy, lease, charge, payment, meter reading or inspection is recorded against that property with the user who performed it and the time.

You are responsible for the accuracy of what you capture. Figures in the app reflect what users entered and do not replace your lease, bank statements or municipal accounts.

8. Notifications

Service notifications about your account, tenancy, charges, requests and readings are part of the service and are sent to the authorised parties for that record.

Push notifications require your device permission and can be switched off in your settings or your device. Optional marketing messages are separate and require consent.

9. Documents

Documents such as leases, certificates, invoices, receipts, statements and inspection reports are stored privately and released only to the users authorised for the property or tenancy they belong to.

You confirm you have the right to upload what you upload, and you keep ownership of it. Do not upload unlawful content or another person's information without a lawful basis.

10. User acknowledgements

Where the app asks you to acknowledge something — accepting the terms, confirming a reading, acknowledging a key handover, confirming a screening consent or acknowledging an inspection record — the acknowledgement is stored with your user account, the policy or record version, and the date and time.

An acknowledgement recorded in this way is an electronic data message and may be relied on as evidence of what you confirmed.

11. Communication history and audit trails

Messages, notifications, approvals, acknowledgements and property actions are kept as a history for the property and tenancy they relate to, so both parties can see what happened.

Administrative actions on accounts, subscriptions, refunds and platform settings are written to an administrator audit log.

History entries are not edited or deleted by users. We keep them while the account or tenancy is active and afterwards for as long as needed for legal, tax or dispute purposes.

12. Role-based access

Access is determined by your role — tenant, landlord, agency, agency staff or platform administrator — and by your link to the property or tenancy concerned. Access rules are applied by the database, not only by the screens you see.

Attempting to access records you are not authorised to see, or sharing your login, is a breach of these terms and may lead to suspension of your account.
